How to Search Cases by Name
Odyssey Smart Search handles Whitman Superior Court name searches. Type the name in “Last, First Middle” order, then narrow the location to Whitman County. Capitalization does not matter. The official guide permits an asterisk after a partial term, with a floor of one first-name character and three last-name characters. Common surnames pull big result sets. Cut the noise with a filing-date range, a case type, a status filter, or a fuller middle name.
- Identify Superior, District, or Municipal Court from the papers.
- Open Odyssey for Superior Court or the state limited-jurisdiction search for District or Municipal Court.
- Enter the name in the format required by that system.
- Add Whitman County, court, case type, year, or date filters.
- Complete CAPTCHA and submit the search.
- Compare case number, file date, type, location, and parties before opening a result.
The District and Municipal Court route is more structured. Pick the exact Court Name, Case Type, and Year Filed In/After first. Then type the Last Name and First Name. Choices include Whitman County District Court and Colfax Municipal Court, or the court printed on your paperwork. Albion, Colton, and Uniontown municipal functions route through Whitman District Court. Choosing the right court keeps a good name from being run against the wrong database.

Whitman County Odyssey Case Search
The Odyssey Portal gives free, anonymous access to public case information. It covers nonconfidential, nonsealed Superior Court cases. Its public landing page presents three tiles: Smart Search, Search Hearings, and Judgment Search. Each does a different job. Smart Search finds a case. Search Hearings finds calendar settings, while Judgment Search targets judgments. Picking the right tile keeps you from mistaking a hearing-only query for a full Whitman County case lookup.
The official portal landing screen lays out those choices:
Advanced Odyssey filters cover party or business name, case number, case type, status, file-date range, judicial officer, and other role-based fields. One gap matters here. Citation Number appears as a search type in the guide. It is marked unavailable in Washington Odyssey. So take a District Court citation to the lower-court system or to the court named on the ticket.
How to Search by Case Number
A complete case number beats a name every time, because it sidesteps name collisions. A current Whitman Superior Court Odyssey number looks like 24-2-00382-38. The first two digits give the filing year. The next digit marks the case type. There, 1 is criminal, 2 civil, 3 domestic, 4 probate or guardianship, 5 adoption or parentage, 6 mental illness or alcohol, 7 juvenile dependency, 8 juvenile offender, and 9 judgment. A five-digit middle sequence identifies the case itself. The final 38 is Whitman County's Odyssey code.
Older SCOMIS numbers follow a similar pattern but close with a check digit, like the state example 93-1-00042-7. That last digit is not a county code. District and Municipal Court formats vary by local court. They may mix numbers, letters, or punctuation. An electronic ticket such as 4A0000001 is a citation identifier. It may not match the later court case number. Enter each value in its own search mode.
Whitman County Case Search Limits
Odyssey caps display at the first 200 records. A broad Whitman County name search can therefore leave out the match you want. That can happen even when the case is fully public. Narrow the search instead of assuming no case exists. Add Whitman County, a tighter filing range, the full middle name, a case category, or a case status. Results can also be sorted or filtered. Sort or filter by case number, file date, type, location, and party name.
Wildcard and Sounds Like are separate tools. Odyssey says they cannot be combined in the same query.
An asterisk at the end of a known partial name or number widens the net. For an uncertain hyphenated surname, the guide says to enter it without the dash. Uncertain spaces or hyphens may call for two separate searches. Sounds Like applies phonetic matching. It tends to return a larger set. These tricks fix many failed searches without changing the underlying Whitman County court record.
What a Case Search Shows
Each Odyssey result row carries enough detail to test a match before you open it. Clicking the case number reveals public panels for Case Information, Party, Disposition Events, Events, and Hearings. In the District/Municipal system, an upcoming appearance sits near the top, with summary information and detailed case activities underneath. A docket is simply the running list of events. A disposition is the recorded result or resolution. Neither label promises a downloadable document image.
| Case Number | The court identifier, including Whitman's 38 suffix on current Superior Court Odyssey numbers. |
|---|---|
| File Date | The date the clerk accepted the case-opening record. |
| Type and Location | The case category and court or branch connected to the file. |
| Parties | The public party names or case caption allowed in the result. |
| Disposition Events | Recorded outcomes or resolution events. |
| Events and Hearings | The chronological activity and public settings. |
One click on a case number can settle whether a case exists, where it is filed, and which public events have been entered. Need a filed order, certified judgment, transcript, or older document? Move from the index to the proper clerk request channel.
Whitman County Limited Case Search
For Whitman District Court and the municipal court that serves the area, the public entry point is the Washington District and Municipal Court Case Search. This statewide tool lets you look up a case three ways. Search by name, by case number, or by business name. The name mode asks for more than just a person. Pick the court, the case type, and a year threshold first. Then supply a last name and a first name. A CAPTCHA stands between you and the results, so complete it before you submit.
The interface shown on the official search page lays out the lower-court fields that set this lookup apart from Odyssey.
Freshness matters here. The state says case data usually appears about 24 hours after clerk entry. It does not promise that identity, completeness, accuracy, or current status are guaranteed. So a brand-new filing may simply not show yet. Give the refresh window time. Then call Whitman District Court at 509-397-6260 in Colfax or 509-332-2065 in Pullman. Colfax Municipal Court answers at 509-397-3861.
County vs Statewide Case Search
No single portal gathers every court level and every document for Whitman County. Instead, the split runs along court level and record depth. Odyssey is the statewide platform. It serves Whitman Superior Court public information. A separate statewide District/Municipal search handles the limited-jurisdiction courts. So a county docket and a statewide docket search are not two copies of the same thing. They answer different questions. The county itself keeps the original files, routes users, answers questions, and authorizes access wherever the public index stops.
| Search channel | Whitman coverage | Best use |
|---|---|---|
| Odyssey Portal | Public Whitman Superior Court information | Superior cases, events, hearings, and judgments |
| District/Municipal Search | Whitman District and applicable municipal cases | Limited-jurisdiction name, number, or business lookup |
| Find My Court Date | District and Municipal calendars | A focused upcoming date search |
| County Clerk | Original Superior Court file | Filed documents, inspection, and certified copies |
| District Court branches | Original lower-court files | Missing online data and document requests |
JIS-Link adds one more statewide layer, but only for paid subscribers. It bills $0.145 per transaction with a $13 monthly minimum, and it stays display-only. No case documents come through it. For one known public Whitman case, start with the free court-level docket search. It is the better first step.
Whitman County Case File Layers
A public docket names the case and lists its public events. It is not always the full file. Anonymous Odyssey users can view public case information. The official guide states that documents stay unavailable in anonymous view. Document access for Superior Court runs through the Whitman County Clerk. Anyone may view public case files free at the Clerk's office, 400 N Main Street, Suite 235, Colfax. Come during business hours. Files older than ten years sit in a secure vault. They require at least 24 hours' notice.
Need a copy? Use the Superior Court records form or email clerk@whitmancounty.gov. You can call 509-397-6240, stop at the counter, or mail a written request to PO Box 390, Colfax, WA 99111-0390. Include the case number, the document you want, your contact details, and party information. The Clerk responds with the cost and how it will be delivered. District Court records belong with the assigned District Court branch, not the County Clerk. And the county's general Public Records Act form is not the route for court documents.
Missing Whitman County Case Results
Start with the court level. A felony or major civil case may sit in Odyssey. An infraction or misdemeanor lives in the District/Municipal search. Then check your format. Spelling of names, year, punctuation, the county filter, and case type all matter. If the papers include a case number, search by that number instead. A hyphenated or spaced surname may need both forms tried. And for a new lower-court entry, remember the stated 24-hour refresh can explain the gap.
The Tyler payment portal is not a Superior Court search and does not contain Whitman Superior Court cases.
When the online docket search comes up empty, pick up the phone or go to the courthouse in person. A public terminal sits in some spots. Whitman County does not guarantee a public terminal at every location. Call ahead before you make the trip.
A written request works too. Send the clerk the case details in writing when online access fails. Some cases are sealed or restricted. Those need a lawful request or a court order, not just another public records search.
Restricted Cases and Access Rules
Washington court rules set the baseline here. GR 31 presumes the public can see court records, but it also allows privacy, statutory, rule-based, and court-ordered limits on that access. GR 15 governs sealing and redaction. A judge must make written findings. Redacting part of a filing is favored over sealing the whole thing. GR 22 adds privacy protections for family law, protection orders, guardianship, and therapeutic courts. Juvenile records carry their own distinct rules. The practical upshot is that a sealed Whitman County case may vanish from public search results, or it may appear with less detail than usual.
Be careful how you read a blank result. It is not proof that no case exists. Ask the court of record whether the file is restricted. Ask what process applies. The clerk cannot hand out material a rule or order bars, even when you supply the case number. At the same time, one restricted document does not seal every fact on the docket. Access can be granted or denied entry by entry, document by document.
For an authoritative record, verify the public result with the Whitman court or clerk that maintains the original file.
